The Regulatory Communications Product team is pleased to present an update on new features, enhancements, and production fixes across multiple products. These updates aim to improve operational efficiency, streamline processes, and enhance the user and client experience.

Regulatory Distribution/Shareholder Mail

We’ve enhanced our beneficial email service to include a preview image of each TSR in emails sent to shareholders. Now, communications are more visually engaging and informative as shareholders can quickly see a TSR preview right from their inbox. We hope this upgrade reinforces the importance of reviewing TSRs and helps boost engagement.

1. Automatic Print Translation Table Creation

If you include the PDF name in job setup, we will automatically create and upload the Print translation table to the Document Portal. This makes it easier and you don’t need to reupload a translation table later unless you are web hosting.

2. New Class Column

We have added a "Class" column next to fund names on several tabs (Campaign, Non-Campaign, and Document History). This detail helps you identify funds more easily and is available when exporting to Excel.

3. Unique Navigation URLs

Navigating the Overview section just got faster! Each sub-tab now has a unique URL so you can jump directly to where you want to go.

4. Simplified Invoice Management

We have introduced an ‘Invoice Allocation’ link in the navigation bar. If you are linked to an MC number, you'll see it there, allowing quick access to your invoices. The link opens the Invoice Management page in a new tab for your convenience and automatically logs you in if your session has not expired.

5. Personalize Your Email Reports

Now you can customize email alerts, ensuring you only get updates that matter to you. Adjust these settings easily through your profile in the user interface.

6. Detailed Upload Times

On the Document History tab, the Upload date now shows the exact time in HH:MM EST format. You can also filter by date/time, making it easy to track when uploads occur.

7. View Only User Access

We've introduced a new view-only user role. This ensures that view-only users can't perform actions like uploads or reviews, preserving data integrity and proper access control.

8. Optional Web hosting Date Column

Added an optional column for the translation table so you can specify different web hosting dates than the report date.

9. Session Time-out Handling

Users will be automatically redirected to the login screen upon session expiration, reducing confusion about document processing failures due to session timeouts.

10. Bug Fixes

  • Fixed reports not downloading
  • Fixed AI CUSIP selection visibility non-Campaign page UI for N-CSR PDFs
  • Updated PDF replacement functionality to handle duplicated PDF names so that the newest PDF replaces previous PDF submission
  • Fixed inconsistent email alerts to users

Web Hosting (Prospectus Express/VPX)

You can now web host three additional document types per CUSIP, including value-add fact sheets, information statements, and more!

After the initial configuration is done, simply upload the PDFs and translation table via the Document Ingestion Application and the PDFs will appear on Prospectus Express automatically within a hour.

Addition of N-MFP link to EDGAR for Money market funds under the Portfolio Holdings section.

Fix for WRP web traffic counts for N-CSR and N-CSRS not being captured

DocuBuilder

Moving sequential components within a section became easier with the addition of multiple component selection and movement with drag and drop functionality.

Added efficiency to library clean-up by giving users the ability to deactivate multiple components at one time. This feature mirrors the existing enablement functionality.

Feature enables users to identify image and footnote names with a hover-over functionality. This enhances the user's experience by eliminating unnecessary clicks to obtain this information.

Labels that identify specific distributions and changes can now be applied to blackline proofs during the proof round submission.

Users can download table data from the UI into Excel. This allows clients to extract data from the system that may have been updated manually into tables during the update cycle.

Redline documents can be generated in In Progress status as well as when documents are approved. This will allow clients to confirm Redline change documents before moving to Approved status.

When a manual comment is added to a component, a notification will be generated to all users that a comment has been added. This gives a visual representation to users to review or take action on the comment.

Disassociated Embedded Components now have a differing color that distinguishes them from a normal disassociated component.

If a user makes changes in a section and forgets to save the changes, the system will populate a popup notification to confirm action.

  • When deleting a Row or Column of a partial table the selected and deselected rows will retain the marker for adding to the document
  • When a row is removed from a table the UI will maintain the position on the screen.

When a Prospectus has multiple funds that are from different Trusts, the consolidation tool will automatically remove the IXBRL tags during the consolidation process that do not pertain to the selected CIK. The main document in DocuBuilder will retain all applied tags but the consolidated document will be consolidated with only applicable tags for that Trust.

This corrects the behavior where the table is jumping to the top of the screen.

Leveraging Adobe PDF review that was implemented during TSR, the rest of the DB platform will now have PDF annotation review capabilities as well as workflow for document review and approvals.

Mutual Fund Proxy

We’re pleased to announce the launch of improved vote tracking reports, providing you with deeper insights and greater transparency into your voting process. With these new reports, you can:

  • Receive Daily Updates: Stay informed with daily report updates, ensuring you always have the most current voting data at your fingertips.
  • Leverage Multi-level Reporting: For proxies with multiple funds, you’ll receive a detailed Fund-Level report.
  • Monitor Voting Progress: Easily track voting participation and progress toward quorum across all entities.
  • Understand Voter Engagement: See how your investors are voting, with breakdowns by both print and e-delivery to help refine your communication strategies.
  • Analyze Voting Sources: Access detailed information about where votes are coming from, including the number of shares voted by each source.
  • Identify Unvoted Accounts: View comprehensive analytics on unvoted accounts, including segmentation by account type and broker, to help target outreach and boost participation.

  • Ability to run Vote Propensity Analysis (VPA) on all Mutual Fund Proxy campaigns.
